The first-release workflow

Seven steps, one record.

Every step below is captured in the candidate's audit trail with who did it and when.

Step 1

Create the candidate

A recruiter enters only the details needed to send a request. Duplicate checks for the same candidate are flagged before they go out.

Step 2

Send a secure link

The candidate receives a time-limited verification link. Recruiters can resend, expire or cancel a request at any time.

Step 3

Notice and consent

The candidate sees who requested the check, its purpose, the information required and the applicable notice and consent steps.

Step 4

Identity check

The candidate verifies with an approved identity provider — typically an ID document and a selfie with liveness detection — and can resume if interrupted.

Step 5

Clear result

Know-M shows Verified, Review required, Unable to verify or Incomplete, with the check date and essential details. These are workflow statuses, not hiring decisions.

Step 6

Human review

An authorised agency user reviews any exception, records the disposition and decides whether to continue the recruiting process.

Step 7

Audit record

The request, notices and consent, provider result, reviewer actions and timestamps are kept according to an agreed retention policy.
